How to integrate with Planning Center

Enable Integration on Givelify

Givelify offers an API integration service that automatically exports donations

made through Givelify directly to the Planning Center management system. This

integration eliminates the need to manually input donations from Givelify to

Planning Center. You can set up and manage your integration in the Analytics

Studio.

Follow these steps to enable the integration environment for Planning Center in

the Givelify Analytics Studio:

1. Visit analytics.givelify.com and sign into your organization's account.

2. Select Integrations from the left navigation menu.

3. Navigate to the Planning Center tile and select Enable.

4. Review the information that describes the integration process and then

select Proceed to Planning Center.

5. Enter your Planning Center credentials. This step might not be required if you

are already logged in.

6. Select Allow to integrate Planning Center with Givelify.


7. Givelify will start syncing donors and envelopes. It might take a few minutes.


8. The page must be refreshed manually to see the synchronization results.

The Home page shows the number of donors and envelopes in Givelify that are

Unmatched (and the total number that have been matched so far) to the profiles and funds on Planning Center.

For donors and their donations to be accurately reconciled with Planning Center,

the donors in Givelify need to be matched to their corresponding profiles on

Planning Center, and the envelopes in Givelify need to be matched to their

corresponding Funds on Planning Center.

 

Donor Matches

Givelify connects our data with Planning Center data for our algorithm to make as many successful donor matches as possible based on Names, Addresses, Phone Numbers, and Email Addresses. Any remaining unmatched donors will need to be matched before any of their donations can be imported.

Planning Center provides an automatically assigned number specific to each member used to identify donors in the Planning Center system. This number can be found in the URL on each member's profile in Planning Center.

To match donors to Member IDs, follow these steps:

         1. On the Planning Center Integration page, select the Donors tab.

         2. In the filter drop-down, choose Unmatched to display a list of donors that

were unable to be matched to assigned Planning Center IDs.

 

3. Select Match for each Donor Name and then use one of the following options

to match the donor to the Planning Center ID:

       o On the Potential Matches page, select Confirm next to the Planning

Center profile you want to match.

    o Select Enter Planning Center ID tab, manually enter the Planning

Center ID collected from the member profile URL, and then select

Match.

 

o Create a new Planning Center profile from the Create New Planning

Center Profile tab, if the donor is registered in your management

system. After the profile has been created, the new profile will be

matched to the Givelify donor.

 

 

 

Edit Donor Match

To edit a donor match to a member ID or envelope number, follow these steps:

      1. On the Donors tab, select the filter drop-down and choose Matched to

display a list of donors that have already been assigned an envelope number

or member ID.

    2. Find the donor in the list and select Unmatch.

    3. On the Confirm Unmatch dialog, select Confirm.

Note: If you want to match it to another Planning Center ID, select the

Unmatched filter and repeat the matching procedure above.

 

 

Match Envelopes to Funds

Planning Center Funds are automatically imported into Givelify and displayed on

the Envelopes tab along with the list of Givelify envelopes to be matched. Follow

these steps to complete the matching:

1. On the Planning Center Integration page, select the Envelopes tab.

2. In the filter drop-down, choose Unmatched to display a list of envelopes that

do not have an assigned fund category.

3. Select the drop-down arrow in the Planning Center Fund column and choose

the fund.

4. Then select Match. This must be done for each envelope before using the

drop-down for the next envelope.

5. Repeat for each envelope.

Note: If there is a Givelify envelope that does not match any of the Funds in

Planning Center, first create the Fund in Planning Center and then return to

Givelify to refresh the page to complete the matching of the envelopes.

Donations to unmatched envelopes are not exported until they have a match.


Edit Envelope Match

To edit an envelope that already has a Fund assigned, follow these steps:

1. Select the filter drop-down and choose Matched to display a list of envelopes

that have already been assigned a Planning Center fund.

2. Select Unmatch.

3. On the Confirm Unmatch dialog, select Confirm.

Note: If you want to match it to another fund, select the Unmatched filter and

repeat the matching procedure above.

 

Settings for Export

When enabled, donations from that point on are then automatically exported to

Planning Center in real-time. We do not back-date previous donations to avoid

duplications. While configuring your integration for the first time, this

functionality is disabled. You must enable it for automatic syncing between

Givelify and Planning Center.

 

Follow these steps to enable the automatic export of donations:

1. On the Planning Center Integration page, select the Integration Settings tab.

2. Select the Export Donations Automatically switch to toggle it On.

Note: Once the switch is turned On, donations made after that point will start

exporting automatically. You can view these donations on the Exported

Donations tab.

 

If the switch is toggled Off at any time, your donations will stop exporting until

the switch is toggled On again.

Any donations made through Givelify between the time the export was turned

off and back on must be manually entered into your Planning Center system to

be up to date.

 

View Exported Donations

All donations made after switching on your export are automatically exported to

Planning Center. Select the Exported Donations tab and view donations to

confirm that your integration has been successfully configured.

 

 

Generate Reports of Exported Donations

If you want to generate a report of the exported donations, follow these steps:

1. Select the Exported Donations tab and then select Export.

2. On the Exported Donations dialog, select the date range (Start Date and End

Date) of the exported donations and then select Export.

Note: Whenever an Envelope is added or modified in the Givelify Analytics

Studio, it will need to be matched to the correct Planning Center Fund on the

Planning Center Integration tab to ensure automatic exports are allocated

properly.
